Refund and Cancellation Policy

How cancellations and refund requests are handled.

1. Introduction

This Refund and Cancellation Policy describes how Data Sphere Focus handles cancellations and refund requests for our services. It is intended to be clear and fair to both clients and our team.

2. Scope

This policy applies to services such as custom web design, website development, website redesign, SEO and website optimisation, and website maintenance and support. Where a signed proposal or agreement contains different terms, those terms take precedence.

3. Project-Based Services

Project work is defined in a written proposal or statement of work that sets out scope, deliverables, timeline and payment schedule. Because project work involves time reserved specifically for your project, refunds are assessed based on the work completed.

4. Deposits

Some projects require a deposit before work begins, as specified in the project agreement. Deposits secure scheduling and cover initial planning work. Whether and to what extent a deposit is refundable is set out in your agreement.

5. Work Already Performed

Time and work already performed, including discovery, planning, design, development, consultations and revisions, are generally chargeable even if a project is cancelled before completion.

6. Cancellation

Either party may request to cancel a project in accordance with the cancellation terms in the project agreement. Cancellation requests should be made in writing by email. Ongoing services such as maintenance can be cancelled according to the notice terms agreed for that service.

7. Refund Eligibility

A refund may be considered where payment has been made for work that has not yet started, where a duplicate payment has occurred, or where otherwise agreed in writing. Each request is reviewed individually and in good faith.

8. Non-Refundable Work

Completed and delivered work, approved project phases and time already spent on your project are generally not refundable.

9. Third-Party Expenses

Costs paid to third parties on your behalf, such as stock imagery, fonts, plugins, software licences or other purchased services, are subject to those providers' own refund policies and are usually non-refundable by us.

10. Hosting / Domains / Software

Domain registrations, hosting plans and software subscriptions are typically contracted with third-party providers. Refunds for these are governed by the respective provider's terms.

11. Client Inactivity

If a project is paused for an extended period because required content, feedback or approvals have not been provided, we may treat the project as on hold or cancelled in accordance with the project agreement, and work completed to that point remains chargeable.

12. Request Procedure

To request a cancellation or refund, email [email protected] with your name, company, project or invoice reference and the reason for your request. We will acknowledge your request and respond after reviewing it.

13. Approved Refunds

Approved refunds are issued to the original payment method where possible, or by another method agreed with you. Processing times can vary depending on the payment provider.

14. Changes

We may update this policy from time to time. Changes do not affect agreements already signed unless both parties agree.
